What Is a PBX Wallboard?

A plain-English guide to PBX wallboards: what they show, who uses them and what to look for before you put one on the office screen.

A PBX wallboard is a live display of what is happening on your telephone system right now. It takes information the PBX already holds — which calls are ringing, which have been answered, which were missed and which extensions are busy — and presents it as large, readable tiles that a team can glance at during the working day.

Why wallboards exist

Most phone systems record a great deal of activity, but that information usually sits inside technical admin screens or exported call records. Team leaders cannot act on data they cannot see. A wallboard closes that gap by turning the stream of call events into a shared picture that everyone in the room understands.

What a typical wallboard shows

  • Calls currently ringing or in progress
  • Calls answered and missed so far today
  • Extensions that are available, busy or unavailable
  • Missed callers who have not yet been called back

The best wallboards show a small number of figures well rather than every number the PBX can produce. A board that needs explaining is a board people stop looking at.

Who uses them

Reception teams use wallboards to see which lines need attention. Sales and customer service teams use them to keep response times visible. Managers use them to spot busy periods as they happen rather than discovering them in a report a week later.

Accuracy matters more than decoration

A common problem is that a single customer call can ring through an IVR, a ring group and several extensions. A naive wallboard counts every one of those attempts, so one unanswered caller can appear as many missed calls. Before choosing a wallboard, ask how it groups routing attempts into real customer calls. NOVIQ PBX Insights uses logical call classification to do this where reliable source data permits.

Things to check before choosing

  • Which PBX platforms are genuinely supported today, rather than "planned"
  • Whether figures are counted per customer call or per ringing leg
  • Whether layouts can be adjusted for a TV screen and a desktop browser
  • How access is controlled, so call information is only visible to the right people

A wallboard is simple in concept. Getting the numbers right is the part that makes it worth having.
