How to Track Missed Business Calls

Missed calls are lost enquiries. Here is a practical approach to measuring them accurately and making sure every caller gets a response.

Every missed call to a business line is a person who wanted something: a quote, an answer, an appointment or help with a problem. Some will try again. Many will not. Tracking missed calls well is less about counting them and more about making sure each one is followed up.

Step 1: Count customer calls, not ringing attempts

When a call rings a hunt group of eight phones and nobody answers, a simple report may record eight missed calls. That inflates the figure and hides the real question: how many people did not get through? Group routing legs into a single logical call first. Without this, every other number you calculate will be distorted.

Step 2: Separate missed calls from returned calls

A missed call that was returned ten minutes later is a very different outcome from one that was never returned. Keep a working list of missed callers and mark them as dealt with when someone calls back or the caller rings again and is answered.

Step 3: Look at when calls are missed

Missed calls rarely spread evenly across the day. They cluster at opening time, lunchtime and late afternoon. Viewing missed calls by hour helps you decide whether the answer is more cover, a different ring strategy or a better out-of-hours message.

Step 4: Make the list visible

A missed-call report emailed once a week is useful for review but too late for action. A live list on a wallboard or dashboard means the team can return calls while the caller still remembers why they rang.

One bad Monday is not a pattern. Compare weeks and months, and look for changes after staffing or routing decisions.

  • Treating internal transfers as missed customer calls
